The Treatment Coordinator plays a vital role in ensuring a seamless patient experience within our facility. This position involves coordinating patient treatment plans, managing documentation, and providing exceptional customer service. The ideal candidate will possess strong organizational skills and a thorough understanding of dental terminology, enabling them to effectively communicate with both patients, providers, and insurance companies.

Duties:
- Coordinate patient treatment plans by reviewing documentation and ensuring all necessary information is collected and processed accurately. Present plan(s) to patient as an estimate only and explain treatment as needed; schedule treatment with accurate coding.
- If same-day treatment is needed, prepare estimate and give chairside presentation to patient.
- Serve as the primary point of contact for patients, addressing inquiries and providing information regarding treatment options.
- Verify insurance eligibility with attention to plan imitations and fine print.
- Send treatment plan(s) out for pre-authorization with insurance company, ensuring we have correct x-rays and narratives to accompany claim; paying attention to any dual insurance companies.
- Access pre-authorization insurance information via internet or phone to ensure the pre-authorizations are entered and patient is aware before their appointment.
- Utilize software to manage patient records and appointments efficiently. Experience in using Excel and Word. Able to use our text messaging system as well as Outlook for emails.
- Assist team members in scheduling appointments and follow-up visits while maintaining an organized calendar. Answer questions regarding insurance and statements.
- Collaborate with provider and staff to ensure that all patient needs are met promptly and effectively.
- Maintain a welcoming environment for patients, fostering a positive experience through excellent customer service. Assist front desk with answering phones, checking voicemails, check-in and out; explaining charges if necessary. Help with collecting payments. Set-up payment plans as per company policy if needed.
Skills:
- Proficient in using electronic health record system. Knows how to email using Outlook, Excel, Word, and can use provided communication system (texting) with patients.
- Strong understanding of dental terminology and documentation review processes.
- Experience as a receptionist or in a similar patient service role is preferred.
- Knowledge of coding is advantageous.
- Experience in working with insurance companies for needed information is preferred.
- Exceptional customer service skills with the ability to communicate effectively with diverse populations.
- Strong organizational skills with attention to detail to manage multiple tasks efficiently.
- Ability to work collaboratively within a team-oriented environment while also being self-motivated.
Pay Range: $22.00- $ 28.00 DOE / Hours: M-TH, 7:30 am – 5:15 pm / Benefits are as follows:
-QSEHRA: Our healthcare reimbursement program. It is offered to full-time only employees, after the 90-day waiting period, and paid monthly UP TO $400.00 p/month. We use a third party to manage this platform so all documents to qualify are filtered thru them. You must have minimum essential coverage (MEC) to qualify.
-RETIREMENT PLAN: -An employee is eligible for our matching 401K benefit after 1000 hours or 1 year.
-HOLIDAYS: -Full-time employees receive 6 paid holidays per year (- New Years Day – Memorial Day – Independence Day – Labor Day – Thanksgiving Day – Christmas Day)
-PAID TIME OFF (PTO): A full-time employee is eligible for PTO (all inclusive) after the 90-day waiting period and pro-rated for the calendar year as follows: 40 hrs at the beginning of each calendar year / After 3 full calendar years, a full-time employee will receive 72 hrs. / After 5 full calendar years, a full-time employee will receive 108 hrs. A part-time employee is eligible for PTO (all-inclusive) after the 90-day waiting period and accrues @ .033 an hr p/hrs worked.
-EMPLOYEE DISCOUT PROGRAM: Employee, spouse, children, and domestic partner discounts include: Merchandise purchases at cost + any S&H charges / Free dental care services (pre-authorized by Dr. Slater) after any insurance or lab fee have been applied (deducted) on acct.
Compensation: $22.00 - $28.00 per hour
